Information we collect
Depending on how you deal with us, we may collect and use:
- your name, email address, telephone number and postal address;
- property and instruction information, including the property address, postcode, tenure, purchase or ownership details, access arrangements and relevant parties;
- the information you enter in our website quotation form, including the service you are interested in and any message you send;
- correspondence, photographs, plans, reports, certificates and other documents relevant to an enquiry or instruction;
- payment, invoice and accounting information;
- inspection notes, photographs, measurements, reports, valuation evidence where applicable, conflict checks, quality-control records and communications;
- complaint, claim or dispute information; and
- technical and security information generated when you use the website, such as IP address, browser information and security signals used to protect the quotation form from automated abuse.

We do not carry out solely automated decision-making that produces legal or similarly significant effects about clients.
Website quotation form and service providers
Our quotation form is processed using Formspree. When you submit the form, the information you enter is sent to Formspree so it can deliver the enquiry to us and make it available within our Formspree account.
The form is protected by Cloudflare Turnstile. Turnstile performs security checks in your browser to distinguish genuine visitors from automated traffic. Cloudflare states that Turnstile processes only the information necessary for this security function and does not access, store or transmit the contents of your form fields.
We may also use other IT, email, cloud-storage, accounting, payment and administrative providers where reasonably necessary to run the practice.
Where information comes from
Most information comes directly from you. We may also obtain relevant information from estate agents, sellers or occupiers, conveyancers and other professional advisers, referrers, contractors, RICS, insurers, public authorities and public or subscription sources such as HM Land Registry, planning records, EPC data and property-market information.
Who we may share information with
We share personal information only where reasonably necessary and lawful. Recipients may include our service providers, professional advisers, professional indemnity insurers and brokers, RICS, CEDR or another agreed dispute-resolution provider, HMRC or other public authorities, and other parties where the law requires or permits disclosure.
Where an estate agent, seller or occupier is arranging access, we provide only the information reasonably needed to arrange that access. We do not provide them with your report merely because they arranged access.
International transfers
Some technology and cloud providers may process information outside the UK. Where this happens, we use providers and transfer arrangements intended to provide an appropriate level of protection under UK data-protection law, such as applicable adequacy arrangements or approved contractual safeguards.
How long we keep information
We keep information only for as long as reasonably necessary for the purpose for which it was collected and for professional, insurance, tax, regulatory and legal requirements. Our normal approach is:
- completed or terminated instruction files: at least six years after completion or termination, and longer where reasonably necessary because of limitation periods, insurance requirements, a complaint, claim or other hold;
- enquiries that do not become instructions: normally up to 12 months, unless a longer period is justified for conflict, complaint, legal or regulatory reasons;
- financial and tax records: for the period required by applicable law; and
- complaint and claim records: for as long as needed to resolve the matter and meet legal, regulatory and insurance requirements.
We review retention rather than keeping records indefinitely. When information is no longer required, we delete or securely dispose of it.
Your data-protection rights
Depending on the circumstances and lawful basis, you may have rights to be informed, access your personal information, correct inaccurate information, request erasure, restrict processing, object to processing and receive or transfer information you provided in a portable form. A right may not apply in every situation and legal exemptions can apply.
